NerdHouse LLC (“NerdHouse,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to nerdhouse.com and any service we provide that links to this policy.

1. Who We Are

NerdHouse LLC is a managed service provider (MSP) headquartered in Honolulu, Hawaii. We deliver IT support, cybersecurity, and Microsoft 365 services to small businesses. Our website address is https://nerdhouse.com.

2. Information We Collect

Information You Provide

• Contact details — name, business name, email address, mailing address, and phone number, when you fill out a contact form, request a consultation, or sign up for SMS updates.
• Service request details — a description of the IT issue or service you’re inquiring about.
• Billing information — for clients under an active services agreement, billing contacts and payment instruments processed through our PSA and accounting systems (we do not store full card data on this website).

Information Collected Automatically

• Log data — IP address, browser type, device type, referring URL, pages visited, and timestamps.

3. How We Use Information

• To respond to inquiries, deliver consultations, and provide IT and security services.
• To send service updates, scheduled maintenance notifications, and incident communications.
• To send SMS messages you have opted in to receive (see SMS Messaging Program).
• To bill clients and process payments under active service agreements.
• To improve site performance, security, and content.
• To comply with legal obligations and protect our rights.

4. How We Share Information

We do not sell your personal information. We share information only as needed to provide services, comply with the law, or operate our business:

• Service providers we use to operate, including ConnectWise Manage (PSA / ticketing), Microsoft 365 (email and productivity), TD Synnex (Microsoft CSP licensing), Knownhost (web hosting), SentinelOne and Huntress (security monitoring), and our SMS messaging provider.
• Legal and safety — when required by law, subpoena, or to protect rights, safety, or property.
• Business transfers — if NerdHouse is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

5. SMS Messaging Program

NerdHouse offers an opt-in SMS messaging program for clients and prospects who wish to receive service updates, scheduled maintenance notifications, security alerts, appointment reminders, and account communications via text message.

How You Opt In

You are added to the SMS program only by giving express, affirmative consent — for example, by checking an opt-in box on a form, replying with a keyword to confirm enrollment, or providing your number with explicit acknowledgment that you wish to receive text messages from NerdHouse. We do not enroll you automatically based on phone numbers we collect for billing or contact purposes.

Message Frequency & Costs

Message frequency varies based on the type of communication you have opted into; for clients, expect occasional service-related and security-related messages (typically fewer than 10 per month). Message and data rates may apply. NerdHouse does not charge a fee for the SMS service itself, but standard rates from your wireless carrier still apply.

How to Opt Out

You may opt out at any time by replying STOP to any message you receive from NerdHouse. We will send a single confirmation message and stop sending you SMS communications. You can also email support@nerdhouse.com with the subject line “SMS Unsubscribe” and your phone number.

Carrier & Delivery Disclaimer

Wireless carriers (AT&T, Verizon, T-Mobile, and others) are not liable for delayed or undelivered messages. NerdHouse is not responsible for any delays or message-delivery issues caused by carrier networks or your device.

6. Cookies & Tracking

We use cookies and similar technologies for two purposes:

• Necessary / functional cookies — set by WordPress and our hosting platform to keep the site working (session state, login, security). These are always on; the site cannot function without them.
• Analytics cookies — set by Google Analytics 4 so we can understand which pages are visited, how visitors arrive, and how the site performs. We do not use this data for advertising, retargeting, or to identify you personally. Google may store this data on servers in the United States and other countries; see Google’s Privacy Policy for their handling practices.

We do not use cross-site tracking, behavioral advertising, or retargeting cookies, and we do not sell or share information collected via cookies with any third party for marketing purposes.

Your choices

When you first visit the site you’ll see a consent banner that lets you accept or reject analytics cookies. Necessary cookies cannot be disabled because the site requires them to function. You can change your choice at any time by clicking the Consent Preferences button in the bottom-left corner of any page, or by clearing cookies in your browser. You may also block or restrict cookies via your browser settings; doing so may affect site functionality.

7. Data Security

We use commercially reasonable administrative, technical, and physical safeguards to protect personal information. This includes encryption in transit (TLS), endpoint protection (SentinelOne, Huntress MDR/EDR), access controls on internal systems, and limiting personal-data access to authorized personnel. No system is perfectly secure; we cannot guarantee absolute security.

8. Data Retention

We retain personal information only as long as necessary for the purposes described in this policy, to comply with legal obligations (e.g., tax and contract recordkeeping), and to resolve disputes. SMS opt-in records are retained for the duration of your enrollment and for a reasonable period afterward to demonstrate compliance with consent requirements.

9. Your Rights & Choices

Depending on where you live, you may have the right to:

• Request a copy of the personal information we hold about you.
• Request correction of inaccurate information.
• Request deletion of personal information, subject to legal retention obligations.
• Opt out of marketing communications, including SMS (reply STOP) and email (use unsubscribe links).
• For California residents: rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA), including the right to know, delete, correct, and opt out of “sale” or “sharing” — note that NerdHouse does not sell personal information.

10. Children’s Privacy

NerdHouse services are intended for businesses and adult users. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, contact us and we will promptly delete it.

11. Changes to This Policy

We may update this Privacy Policy from time to time. The “Last Updated” date at the top reflects the most recent revision. Material changes will be highlighted with a notice on the site or by direct communication where required.
